A My Local Shops subscription is one seller subscription for a connected wholesale business system—not a separate payment for every app. It includes Trade Manager, Inventory Manager, Order Manager and Staff Bill, while the plan level depends mainly on how many shops and godowns the owner needs to manage.
The apps are free to download, but the connected seller features require an active subscription. Products are unlimited, there is no separate charge per invoice, and the owner can add as many billing staff as needed without increasing the subscription price.

What one subscription includes
Trade Manager for purchase and trade tracking
Trade Manager follows domestic and international purchases from placement to delivery. The owner can record supplier payments, shipments, other charges, claims and received quantities.
Its hero calculation is the landed cost of the pieces actually received. If 100 pieces were ordered but only 80 usable pieces arrived, applicable costs can be recovered across those received pieces instead of assuming all 100 arrived.
Inventory Manager for stock and product control
Inventory Manager turns received stock into sellable products and SKUs. It manages colours, sizes, barcodes, product images, prices, HSN/GST details and stock by shop or godown.
It also controls whether a product appears in the owner's My Local Shops digital shop and whether its selling price is public.
Order Manager for owner billing and reports
Order Manager creates GST and non-GST wholesale invoices, records full, partial or credit payments, tracks party outstanding, checks available stock, and shows owner-only cost and profit.
The owner can also prepare owner reports and organised month-end records for the CA from the invoices recorded during the month.
Staff Bill for authorised billing staff
Staff Bill lets an authorised employee create invoices using the owner's parties, products and assigned billing location. It does not show the employee the owner's landed cost, profit, owner reports or CA reports.
The employee does not buy a separate subscription. Every employee uses a separate Staff Bill login, but adding more billing staff does not increase the owner's subscription price. Staff access depends on the owner's active subscription and a valid relationship created by the owner.
How the plan is selected
My Local Shops uses the business's combined location requirement. A shop and a godown both use a location slot because both can hold inventory and participate in stock movement.
The selection flow is:
- Count every shop where the business keeps or sells stock.
- Count every godown where inventory is stored.
- Add the two numbers.
- Open the live Pricing page and select that location count.
- Review the plan recommended for the total.
- Choose the available monthly or yearly billing cycle.
- Complete payment using the owner's account.
- Wait for the subscription to show as active before relying on app access.
Core app features do not disappear on a lower plan. The meaningful difference is how many shops and godowns the plan permits.
A realistic clothing wholesaler example
Suppose a garment wholesaler operates:
- one main shop in Bhiwandi;
- one second shop in Mumbai; and
- one godown holding reserve stock.
That is three locations, not two. The owner should choose the current plan that supports at least three combined shops and godowns.
With that one subscription:
- Trade Manager records a domestic shirt purchase and its delivery.
- Inventory Manager distributes the received colour-size SKUs between both shops and the godown.
- Order Manager creates owner invoices and tracks party payments and profit.
- Staff Bill lets an authorised counter employee create invoices at the assigned shop.
- The public MLS shop can show buyer-safe product availability without exposing landed cost or exact private stock.
Adding 2,000 products instead of 200 does not require a product pack. Creating 100 invoices instead of 20 does not produce a per-invoice software charge. The relevant plan question remains whether the three inventory locations fit.
What the system stores about the subscription
The seller account keeps the subscription information required to decide access, including:
- whether the subscription is active or expired;
- the selected plan;
- the billing cycle;
- the subscription expiry date; and
- the location allowance associated with the current plan.
Payment and subscription activation are related but not treated as the same event. A payment attempt alone does not unlock the apps; the verified subscription status on the seller account does.
The owner's shops and godowns are then checked against the plan's permitted location count. Product and invoice volume are not used as metered billing counters.
What the owner sees
The owner can review the current subscription, its status, billing cycle, expiry and location usage. During initial selection, the website or owner-app onboarding asks for shop and godown counts and recommends a suitable plan.
After activation, the same owner account can use the owner apps required for the business. The apps share the authorised cloud data, so buying a second phone does not mean buying the subscription again for the same owner account.
The current amount should always be read from My Local Shops Pricing. This article deliberately does not copy a rupee amount that could become outdated after a pricing update.
What staff can and cannot see
An active seller subscription does not convert every staff member into an owner.
Authorised Staff Bill users can work with the billing information permitted for their connected owner and location. They can create invoices, use appropriate parties and products, and record the payment status required during billing.
They cannot use Staff Bill to open:
- trade purchase costs;
- product landed cost;
- invoice profit or margin;
- owner performance reports; or
- CA and GST month-end report controls.
The owner should invite the employee's own account instead of sharing the owner's Google or password credentials.
Monthly and yearly choices
The Pricing page can show monthly and yearly options from the current pricing configuration. A monthly choice covers its configured subscription period; a yearly choice covers the configured annual period and may show current savings.
Renewal is manual rather than an automatic debit. The complete renewal, expiry and early-renewal rules deserve their own guide; for plan selection, the important point is to check the live cycle and amount before paying.
Common mistakes and limitations
Counting only shops and forgetting the godown
A godown is also a stock location. Two shops plus one godown require support for three locations.
Assuming every app needs a separate purchase
The subscription is for the connected seller system. The four app downloads are not four separate subscriptions.
Assuming “free download” means unrestricted seller access
Anyone can obtain the APK, but seller operations require an authorised account with an active subscription.
Sharing the owner login with counter staff
This exposes information the employee does not need. Use Staff Bill with a staff invitation instead.
Choosing a plan based on product or invoice count
Products are unlimited and invoices do not have a separate software fee. Choose based on the required combined shop and godown count.
Treating a payment screen as proof of activation
The subscription is ready when the account shows the active entitlement. If payment succeeds but access does not update, do not repeatedly pay; verify the account state and seek support.
Expecting the subscription to replace professional tax advice
The apps organise recorded GST and non-GST billing data, but the owner and CA remain responsible for reviewing records and filing applicable returns.
