My Local Shops lets a wholesale owner add as many billing staff as the business needs without paying an extra charge for each employee. Every employee signs in separately through Staff Bill, the owner chooses which shops or godowns they may bill from, and owner-only cost, profit and reports remain outside the staff app.

Why staff pricing matters in a real wholesale business

A software plan may look affordable when only the owner needs access. The calculation changes when the business also needs accounts for two counter employees, one dispatch employee and temporary help during a busy period.

User-based pricing is a real software-pricing model. For example, the official Zoho Books India pricing page lists plan user allowances and a paid user add-on, while the official Zoho ERP India pricing page presents user and employee pricing. These products and My Local Shops are not identical, and their prices can change; the relevant point is simply that adding people can affect the cost of some business-software plans.

My Local Shops uses a different rule for Staff Bill. The seller chooses a subscription according to the supported shops and godowns. Adding another authorised billing employee does not increase that subscription price.

A simple five-person example

Consider a garment wholesaler with:

  • one owner;
  • two billing employees at the main shop;
  • one employee at the second shop; and
  • one temporary billing employee during the festive season.

The owner uses Order Manager and invites all four employees. Each employee installs Staff Bill and signs in with an individual Google account.

The business does not need to choose between paying for four additional staff seats and making everyone share the owner's login. All four staff accounts work under the owner's active subscription without an additional charge for each person.

If the temporary employee leaves after the season, the owner removes that assignment. Historical invoices remain with the business and continue to show who created them.

Separate logins without a difficult setup

Lower cost should not require a confusing process. The joining flow is intentionally short:

  1. The owner opens Staff in Order Manager.
  2. The owner enters the employee's Google-account email.
  3. The employee installs Staff Bill.
  4. The employee signs in with the invited email.
  5. The employee accepts the invitation and enters their name.
  6. Staff Bill opens the billing locations permitted by the owner.

There is no owner password to share and no separate staff subscription to purchase. The employee learns the focused Bill, Parties and Settings experience instead of the owner's complete management system.

The owner controls shop and godown access

Adding unlimited billing staff does not mean every employee automatically needs every location.

When a staff relationship is created, all current locations begin selected for convenience. The owner can then remove any shop or godown that employee should not use. Staff Bill shows only the locations still permitted for that employee.

For example:

  • Imran may bill only from the main shop;
  • Sana may work at either of two sales counters; and
  • Rakesh may use the dispatch godown and the second shop.

Each person can have a simple permitted-location list without purchasing a different subscription.

Staff get the information needed to complete a sale

An authorised Staff Bill user can perform practical counter work such as:

  • find or add a retailer party;
  • select the permitted billing shop;
  • search products by name or item code;
  • scan an existing SKU barcode;
  • select several colours and sizes together;
  • create a GST invoice or non-GST bill;
  • record paid, partial or credit settlement;
  • record a later payment;
  • share or print the invoice; and
  • create an eligible invoice-linked return.

The resulting invoice belongs to the owner's business. Stock reduces from the selected location, outstanding remains connected to the party and the owner sees the invoice in Order Manager.

Owner-only information stays out of Staff Bill

Staff Bill is not a second copy of Order Manager. Its screens do not show:

  • supplier purchase records;
  • product landed cost;
  • invoice cost and profit;
  • profit margin;
  • owner performance reports;
  • CA month-end reports; or
  • staff-management controls.

The saved invoice can still retain the cost snapshot required for the owner's profit calculation. Staff Bill simply does not display that private owner information to the employee.

Why one shared owner login is not a good substitute

Giving several employees the same owner account may appear quick, but it creates practical problems:

  1. every invoice can look as though the owner created it;
  2. removing one employee may require changing access for everyone;
  3. staff can reach screens they do not need;
  4. owner cost and profit may appear at the counter; and
  5. a new phone may remain signed in with the owner's identity.

Separate Staff Bill accounts make daily work easier to understand. The owner can invite one person, remove one person and review who created a particular bill without reorganising the whole business account.

A practical two-shop billing day

Aliana Garments has a main shop and a second shop. The owner gives Sana access only to the main shop and gives Imran access to both shops because he covers either counter.

In the morning, Sana creates three invoices from the main shop. The products and quantities come from that location's available stock. Each invoice records Sana as the creator.

In the afternoon, Imran works from the second shop. He selects that permitted location and creates a partial-payment invoice. Stock reduces from the second shop and the pending balance stays against the buyer.

The owner opens Order Manager later and sees all four invoices, their locations, payments, outstanding and private profit information. Sana and Imran complete the billing work without seeing those owner-only calculations.

Adding both employees costs nothing extra. If the owner later invites another billing employee, the subscription price still does not increase because of that staff account.

What “unlimited billing staff” does and does not mean

It means:

  • there is no separate charge for every Staff Bill employee;
  • the owner can invite as many billing employees as the business needs;
  • each employee can use a separate login; and
  • the owner can manage their location access individually.

It does not mean:

  • staff become owners;
  • staff receive Trade Manager, Inventory Manager or owner-report access;
  • one staff account can work for several unrelated owners simultaneously;
  • the apps work without the owner's active subscription; or
  • Staff Bill becomes a custom permission builder for every button.

The promise applies specifically to authorised billing staff using Staff Bill.
