Its key costing benefit appears when the quantity received is different from the quantity ordered or when additional costs must be recovered. Instead of relying only on the supplier's quoted rate, the owner can see the calculated cost of the pieces that actually reached the business.
For example, if 100 pieces were purchased at ₹100 each, ₹100 of applicable additional cost was recorded, and only 80 pieces were ultimately received, the recoverable cost is calculated against those 80 received pieces rather than pretending all 100 arrived. The exact result depends on the trade's recorded goods, charges, claims and allocation rules.
2. Inventory Manager: know what is available at every location
Inventory Manager turns received goods into usable inventory. A product can contain multiple SKUs, such as one T-shirt design in different colours and sizes. Each SKU can have its own quantity, image, selling price and barcode while sharing product-level details such as the item code, HSN code and GST rate where applicable.
The owner can:

3. Order Manager: create wholesale bills and track money
Order Manager is the owner's sales and billing app. It supports wholesale invoices containing several colour and size variants of the same product, so the user does not have to search for the same design repeatedly.
It records parties, GST and non-GST bills, prices, quantities, payment status, outstanding amounts, later payments, agreed settlements or write-offs, and invoice profit. GST invoices can show HSN and the applicable IGST or CGST/SGST breakdown, while non-GST bills avoid unnecessary GST wording.
The owner can also review recent bills, party details, outstanding payments, invoice-level business summaries, owner reports and information prepared for the CA.
4. Staff Bill: billing access without exposing owner data
Staff Bill gives authorised billing staff a separate app for creating invoices at an assigned shop. Staff can select parties and products, add variants, enter agreed selling prices, record payments and create bills using the owner's connected inventory.
The app deliberately does not give staff access to sensitive owner information such as purchase cost, profit and owner reports. Stock deductions use protected writes so two people billing at nearly the same time do not silently overwrite each other's quantity changes.

My Local Shops is not only an internal record system. Products that the owner marks for MLS can appear on a public, mobile-friendly wholesale shop page.
Retail shop owners can discover the wholesaler, view currently shown products and contact the business directly, including through WhatsApp where available. The wholesaler controls whether a product is listed and whether its price is shown.
When every SKU of a product is out of stock, the customer can still see that it is out of stock and make an enquiry instead of being misled into thinking it is available. The public shop can remain discoverable even if a subscription has recently expired, while its product inventory remains hidden until access is restored.

How the connected workflow works
- Record the purchase trade. Add the supplier, ordered goods, expected quantities, payments, shipments and applicable charges in Trade Manager.
- Record what was received. Update received quantities, shortages, claims and delivery details instead of assuming the full order arrived.

What the owner sees and what staff sees
The owner apps—Trade Manager, Inventory Manager and Order Manager—contain operational and financially sensitive information. They use the phone's supported security check when the app is opened and are intended for the owner or another trusted decision-maker.
Staff Bill is narrower. An authorised staff member can create invoices for the assigned business location, but cannot use that access to inspect the owner's product cost, invoice profit or private reports. The owner remains responsible for staff authorisation and removing access when a staff member leaves.
Cloud-based records and changing devices
Business data is stored against the authenticated account in the cloud rather than existing only inside one phone. If an owner changes a supported Android device, the owner can install the apps and sign in with the same authorised account to access the connected records.
Images are cached on devices to improve speed and reduce repeated data use, but the cloud record remains the source shared by the connected apps. A changed product image or business record can therefore be reflected in another app without maintaining separate copies manually.
Cloud storage does not remove the need for account safety. Owners should protect their Google account or password, keep the phone lock enabled, authorise only known staff and sign out before handing a device to someone else.

Common mistakes and practical limitations
Delaying entries
The system can only show reliable stock, outstanding and profit when purchases, receipts, invoices and payments are recorded correctly. Waiting several days and then entering from memory recreates the same problem the platform is meant to solve.
Treating an ordered quantity as received stock
If 100 pieces were ordered but only 80 arrived, record the actual receipt and any claim. Otherwise both inventory and cost decisions can become misleading.
Giving staff the owner's account
Staff should use authorised Staff Bill access. Sharing the owner's login exposes information and makes accountability weaker.
Publishing every old out-of-stock style
Fast-fashion stock may not be restocked. Use inventory and MLS visibility controls so operational lists and the public catalogue remain useful instead of becoming dominated by unavailable products.
Assuming software replaces GST review
The platform prepares records and calculations from the information entered. The owner should still verify HSN, GST treatment and reporting decisions with the business's CA where required.
Working without connectivity
The connected workflow relies on internet access for current cloud data and protected writes. Do not assume an invoice or stock update is complete until the app confirms that it was saved.

Is My Local Shops only an inventory app?

Can I use it for both clothing and footwear wholesale?

Can different SKUs of the same product have different prices?

Will I lose my data when I change my phone?
Changing the phone does not itself remove cloud records. Install the correct app and sign in using the same authorised account. Protect that account because it controls access to the business data.
