GST Invoice Versus Non-GST Bill for Wholesale Businesses
Understand how GST and plain wholesale bills differ, when CGST-SGST or IGST appears, which item details are required, and how each document reaches reports.
A GST invoice charges and displays applicable tax, while a non-GST bill records the sale without GST amounts. Order Manager and Staff Bill support both document flows, but the business—not the app—remains responsible for choosing the legally correct document for the transaction.
This guide explains the software behaviour and reporting result. It is not tax advice; registration status, type of supply, exemptions and current legal requirements should be confirmed with the business's CA or tax professional.

First understand what the switch means
The Create Invoice screen contains Generate GST bill.
- When it is on, GST applies automatically only if the selected seller location has a GSTIN and the other required facts support a tax mode.
- When it is off, the document is stored as a plain bill with no GST.
- Turning it on cannot invent GST eligibility for a location with no seller GSTIN.
The switch is an operational control, not permission to avoid tax. A GST-registered seller should use a plain bill only where their CA confirms that treatment is appropriate.
How the GST mode is selected
Order Manager uses the seller location and the effective place-of-supply state.
Intra-state: CGST plus SGST
When seller and effective supply states match, the line's GST is divided equally:
Taxable value ₹10,000 at 5% GST
CGST ₹250
SGST ₹250
Invoice value before round-off ₹10,500
Inter-state: IGST
When the effective state differs from the seller state, the same tax becomes IGST:
Taxable value ₹10,000 at 5% GST
IGST ₹500
Invoice value before round-off ₹10,500
For a registered buyer, the buyer's recorded state determines the effective state. For an unregistered buyer with a separate delivery address, the recorded delivery state can determine it; otherwise the Bill-To state is used. The same resolved state drives both the tax calculation and the printed place-of-supply information.
What must be ready for a GST invoice
Before saving, review:
- the GSTIN and state of the selected seller shop or godown;
- the Bill-To party's name, address, state and GSTIN where applicable;
- Ship-To details when delivery differs;
- HSN code for every invoice line;
- GST percentage for every line;
- quantity and price for each colour-size SKU; and
- whether the transaction is genuinely intra-state or inter-state.
Existing HSN and GST values are protected against accidental touches in the product picker. The user can deliberately unlock them when correction is needed. If a GST line is missing a valid HSN, the invoice save is stopped rather than producing an incomplete tax line.
Product metadata maintenance is kept separate from the critical invoice transaction. A later catalogue backfill failure does not cancel an otherwise valid stock-and-invoice save.
What a non-GST bill contains
A plain bill keeps the information needed for business operations:
- invoice number and date;
- seller location;
- party;
- products or custom items;
- quantities and selling prices;
- subtotal, round-off and final amount;
- payments and balance due; and
- the staff member who created it, when applicable.
GST-specific labels, tax rows and GST wording are removed from the document view rather than showing a collection of zero-value tax fields. This makes the bill easier for the customer and owner to understand.
A plain bill is not automatically a statutory Bill of Supply merely because no GST was charged. Document classification and mandatory particulars depend on the seller's circumstances and should be confirmed professionally.
The creation workflow is otherwise the same
Whether GST is on or off:
- choose the billing location;
- select the party;
- add inventory products or an authorised custom item;
- enter each SKU's quantity and selling price;
- review the complete bill;
- record paid, partial or credit settlement; and
- save and share the generated PDF.
The inventory transaction is the same. Stock is validated and deducted from the selected location only after the final save succeeds.
A complete comparison example
A wholesaler sells 50 shirts at ₹200 each.

The payment choice does not decide whether the invoice is GST or non-GST. A GST invoice can be fully paid, partially paid or on credit, and the same is true for a plain bill.
How profit is calculated
GST collected from the buyer is not treated as sales profit.
For a GST invoice:
Profit = Sale before GST − Cost of goods sold
For a non-GST bill:
Profit = Sale − Cost of goods sold
The owner-only Business Summary shows GST as a separate breakdown on tax invoices. On a plain bill, GST wording is omitted completely. Staff Bill does not show landed cost or profit in either mode.
How the documents reach reports
Order Manager's monthly report keeps the records separate:
- GST invoice register;
- GST credit notes;
- HSN summary;
- CGST, SGST and IGST totals; and
- a separate non-GST invoice and credit-note list.
This separation helps the owner and CA review what the system recorded. The generated files support review; they do not replace accounting judgement, GST-return reconciliation or statutory filing.
Before generating the final CA pack, use the outstanding review workflow so genuine dues and agreed settlements are recorded correctly.
Returns preserve the original tax treatment
A return is created against its source invoice. The credit note reverses the returned quantity at the original proportional selling value and tax treatment.
- A return against a CGST-SGST invoice reverses CGST and SGST.
- A return against an IGST invoice reverses IGST.
- A return against a plain bill remains non-GST.

Common mistakes to avoid
Assuming buyer GSTIN alone creates a GST invoice
The seller location also needs the correct GST details. Buyer information cannot create seller registration.
Choosing tax mode manually
Users should verify states and addresses. The app resolves CGST-SGST versus IGST from those facts instead of asking staff to guess the tax split.
Leaving HSN blank on a GST line
Complete the HSN before saving. The app blocks a GST invoice line without it.
Treating GST collected as profit
Evaluate margin using pre-GST sales value, not the customer-facing total including tax.
Calling every non-tax document a Bill of Supply
A plain bill in the app means no GST was charged. Its legal classification depends on the business and transaction.
Mixing GST and non-GST totals for the CA
Use the separated monthly files and let the CA review exceptions before filing.
Frequently asked questions
Can a seller without GSTIN create a GST invoice?
The app does not charge GST when the selected seller location has no GSTIN. The business should confirm its registration obligations separately.
Can a GST-registered seller turn GST off?
The software provides the control, but the seller must use it only where legally appropriate. Confirm the rule for the transaction with a CA.
Does an unregistered buyer mean no GST?
Not necessarily. A GST-registered seller may still make a taxable B2C supply. Buyer GSTIN mainly changes party classification and place-of-supply facts; it does not alone decide whether tax applies.
Can different products have different GST rates?
Yes. GST rate is stored per invoice line, so products on the same invoice may use different valid rates.
Does non-GST billing stop stock deduction or payment tracking?
No. Stock, payment, outstanding, returns and invoice history continue to work.
Are GST fields shown on a plain bill?
No. GST-specific wording and rows are intentionally omitted from the non-GST document.
Do Order Manager and Staff Bill follow the same calculation?
Yes. Both use the shared invoice service, tax resolution and transactional stock write. Their Bill-To and Ship-To selection experiences differ according to owner and staff roles, but the saved calculation is shared.
Choose from business facts, not convenience
GST and non-GST documents are not two visual themes for the same transaction. They represent different tax treatments.
